AI features that actually help, and which to skip

Most AI in business software is marketing. Here are the AI features that actually save time, and the ones to ignore.

The "AI" most software is selling you

  • "AI-powered insights" → a chart with averages
  • "AI assistant" → autocomplete in a text field
  • "AI recommendations" → a hard-coded rule labeled "AI"
  • "AI scheduling" → a calendar that suggests "next available slot"

If a vendor uses "AI" as a feature name without telling you what it does, it's marketing.

What actually helps

  1. 1AI reply drafts. When a customer texts at 9pm, the AI drafts a reply that sounds like you, pulled from your historical responses. You read, edit if needed, send. Shave even half a minute off each message and, across a busy week, the time back adds up fast.
  2. 2AI quote drafting. Customer fills out intake → AI drafts a full quote with line items, pulling from your services catalog and historical pricing. You review, edit, send. Instead of building each quote from scratch, you start from a draft.
  3. 3Voicemail transcription + summary. Every voicemail becomes a one-line subject + 3 action items. You triage a stack of voicemails by skimming instead of listening to each one end to end.
  4. 4Stalled quote follow-ups. AI sends personalized follow-ups (not "Hi {firstName}!") on day 2, day 7, day 14. The aim is simple: stop leaving accepted quotes on the table because nobody followed up.

What to skip

  • AI lead scoring for small businesses. You have 30 leads/week. You can score them yourself in 90 seconds.
  • AI route optimization for shops with fewer than 3 trucks. Your routes are simple enough that human judgment beats the algorithm.
  • AI "insights" dashboards. They mostly show what you already know.

The pricing question
